Welcome to The VR Space Limited. By booking and/or participating in any Virtual Reality sessions or related activities, you agree to the following Terms and Conditions. Please read them carefully.

Booking Policy

  • All sessions must be booked online through our official booking platform.

  • Walk-in appointments may be available, but only if there’s space.

  • Each experenice session allows a different number of participants depending on the activity, but the venue as a whole can accommodate a maximum of 7 participants across both floors at any one time, which is the total occupancy limit of the premises.

  • Bookings are confirmed only upon receipt of full payment.

Waiver and Age Policy

  • All participants are required to read and sign a waiver & release of liability form at the premises prior to the start of the session.

  • Participants under 18 years of age must have a parent or legal guardian sign the minor part of the waiver & release of liability form on their behalf at the premises.

  • Failure to complete a signed waiver & release of liability form will result in the participant being denied play without a refund.

Arrival and Session Time

  • Participants must arrive on time for their session to read and sign the waiver & release of liability form, receive safety instructions, and be fitted with the VR equipment.

  • Please note that the first 15 minutes of your 45 minute session will be dedicated to reading and signing the waiver and release of liability form, receiving safety instructions, and setting up your equipment to ensure you're fully prepared to enjoy your VR experience.

  • Late arrivals will result in reduced play time or forfeiture of the session without refund.

  • Sessions begin and end promptly at the scheduled time.

Code of Conduct

  • Participants must follow staff instructions at all times.

  • Disruptive, disrespectful, or unsafe behaviour will result in immediate removal from the premises without refund.

  • TheVR Space Limited is not responsible for injuries resulting from failure to follow safety guidelines.

  • Anyone found to be under the influence of drugs or alcohol will forfeit their session immediately, with no refund issued.

Cancellations and Refunds

  • Cancellations made 24 hours or more before the scheduled session may be eligible for a full refund or rescheduling.

  • Cancellations made less than 24 hours before the session are non-refundable.

  • No shows will not be refunded.

Photo Policy

  • You can choose to opt in or out of marketing and social media photo use by selecting your preference on the waiver & release of liability form before your session starts.                                         

Personal Belongings

  • Participants are responsible for their own belongings. Personal items can be kept nearby their VR area, and coats can be hung up within the reception area.

  • The VR Space Limited is not liable for any personal lost, stolen, or damaged items.

Technology and Malfunctions

  • In the rare event of a technical malfunction affecting your experience, we will make every reasonable effort to reschedule or issue a full refund.

  • Refunds will not be issued for minor interruptions that do not significantly impact session quality.

  • If you encounter any problems, press the alert button located within your gaming area to alert a member of staff, who will assist promptly.

Health and Safety Disclaimer

  • Virtual reality experiences may cause motion sickness, dizziness, nausea, eye strain, disorientation, or other symptoms.

  • Participants with a history of seizures, epilepsy, motion sickness, heart conditions or other serious medical issues should consult a doctor before participating.

  • If you are feeling unwell, we strongly recommend not participating in any Virtual Reality experience.

  • By choosing to participate, you acknowledge and accept these potential risks.

  • The VR Space Limited is not liable for any health issues or adverse reactions that occur during or after participation.

Limitation of Liability

  • By participating, you acknowledge and accept all risks associated with the use of virtual reality equipment.

  • The VR Space Limited and its staff are not liable for any injury, loss, or damage arising from use of our services, except where prohibited by law.

Equipment Damage

  • Participants must treat all The VR Space Limited personal equipment with care.

  • Inspect gear before use and report any pre-existing damage to staff.

  • Any damage caused during your session especially deliberate or reckless damage will be charged to the responsible participant(s).

  • Charges will cover repair or full replacement costs as needed.

Changes to Terms

We reserve the right to update or modify these Terms and Conditions at any time.

Complaints and Dissatisfaction

We strive to provide a high-quality experience for all participants. If you are dissatisfied with any aspect of your session, please notify a member of staff as soon as possible so we can address the issue promptly.

Formal complaints should be submitted in writing via email, infothevrspace@gmail.com within 7 days of your session. We will review all complaints thoroughly and aim to respond within 28 working days. Please note that refunds are issued at our discretion and are not guaranteed.
